Records get filled in from memory. The week before the audit.

Today

  1. Capturing the data is the hardest part.

Whoever does the work is also the foreman and the agronomist, so the log sheet gets left for later.

  2. Every record gets written twice.

Once on paper in the lot, and again in Excel at the office, if anyone has the time.

  3. Every new format is another sheet nobody controls.

The application record gets a new version, and the field keeps filling in the old one.

  4. The evidence is scattered.

Photos are on the supervisor's phone, log sheets in a binder, and the rest in an email.

  5. And the week before the audit, the month gets rebuilt.

Someone pieces together from memory, at the last minute, what the auditor expects as a same-day record.

With Arlo

  1. Your team fills in the form on the phone, as it happens.

  2. Your team records it once, in the lot.

  3. There is one form, with its code and its version.

  4. Every response keeps who filled it in, when, the lot, and the photo.

  5. You walk into the audit with same-day records, ready to download.

How a record gets from the field to the audit.

  1. Your team opens the form on the phone

They pick the form from the list and fill it in on the lot. If they get interrupted, they save a draft and finish it later.

Your formats, with the rules you set.

Every form is yours: which fields it has, which are required, which depend on another answer, and which part of the estate they connect to.

Only ask what applies

A field can stay hidden until another question is answered Yes. If there was a spill, the description and the photo appear. If not, the form moves on. Whoever fills in the form never sees questions that don't apply.

  • Required fields that stop an incomplete form from being submitted
  • Conditional visibility from any Yes/No question
  • Calculated fields worked out from the form's own numbers

Frequently asked questions

What records do you need for a GlobalG.A.P. audit?
The ones your version of the standard asks for in your scope, and your certification body confirms them. Arlo doesn't certify. In Arlo you build a form per record, such as agrochemical applications, fertilization, hygiene, or attendance, and your team fills it in on the phone the day the work happens.
How do you prepare farm records for a PrimusGFS audit?
Keep them as the work happens. In Arlo you build the forms your scheme calls for, your team fills them in on the phone, and you download every response for a period to Excel. The scheme, the list of records, and the audit stay yours, and Arlo isn't affiliated with any certifier.
Can I turn a paper farm inspection checklist into a digital form?
Yes, one field per question. Each item can be a Yes/No, a single choice, or a number, with required fields, questions that only show when the previous one is Yes, and a photo wherever you need one. If you already keep the records in Excel, you upload them with the form's template.
What can a farm form capture?
Text, numbers, dates and times, Yes/No, single choices, photos or files, calculations from other numbers in the form, and fields that point to a lot, supply, contractor, client, or task on your estate. Any field can be required, or show only when another question is Yes.
Do farm forms work offline in the field?
No. A form needs a connection to open and to save. Your team can save a long form as a draft and finish it later from Saved Drafts. In Arlo, sanitation routes and harvest entries are the records that work without signal.
What's the difference between farm record keeping software and accounting software?
Accounting software keeps the books. Farm record keeping software records the work done in the field. Arlo records applications, inspections, attendance, and counts as your team does them, and exports them to Excel. It does not keep accounts or run payroll.
What records does Rainforest Alliance certification require?
The ones in the standard and checklist that apply to your farm, and your certification body confirms them. Arlo doesn't certify or decide that list. It keeps the records you choose to track, with who filled them in and when, ready to export for the audit.
Where are the audit records, and how do I export them?
In Arlo's response activity. There you filter by form, dates, and responder, open each response with its photos, and download one response or every response in a period to Excel. The period file arrives by email.
