Farm inventory software for crop inputs, by lot and task

Know what input each lot took, and how much money you have in the warehouse.

Arlo records purchases and warehouse exits and values them at weighted-average cost. Every exit carries its lot, its task, and its contractor. If the warehouse can't cover the cycle's supply plan, the cycle flags the shortfall before you run out.

You buy inputs with care. Once they leave the warehouse, you lose track of them.

Today

  1. Exits go in a notebook, with no lot or task.

It says "they took two liters on Monday," not which lot it went to or for which task.

  2. Nobody checks the fertilizer plan against what left.

The fertilizer was bought for the cycle, the dry season came, and nobody checked whether it was applied.

  3. You buy more than you need, and the extra stays in the warehouse.

According to someone who sold inputs for ten years, 10 to 15% of what a farm spends ends up old, damp, or expired in the warehouse.

  4. Nobody knows how much input each lot took.

The cost of an application gets split across lots by eye, or not at all.

  5. And inputs raise the cost per kilo, and you can't see by how much.

In Michoacán Hass avocado, fertilizer plus pest and disease control is 56% of annual cost (FIRA, 2025). Without inputs by lot, you only see an average, and you can't tell which lots cost more.

With Arlo

  1. Every exit carries its lot, its task, and its contractor.

  2. Arlo checks every exit against the cycle's supply plan.

  3. You see what the warehouse is worth and what is about to expire.

  4. Arlo values every exit at average cost and charges it to the lot.

  5. You know how much input goes into each kilo, lot by lot.

How an input leaves the warehouse in Arlo.

  1. The storekeeper records the exit

From the phone they pick the contractor, the task, the lot, and the quantity of each supply. Arlo shows the stock on hand and which purchase expires first.

Arlo keeps the cycle plan and every warehouse exit in the same record.

Arlo recalculates the average cost with every purchase and takes every exit off stock. It charges each lot for the exits that went to it.

Plan the cycle's inputs before you buy

The field cycle's supply plan lays out, per supply, what was planned, what has exited, what remains, and what is in stock. If stock can't cover what remains to be issued, Arlo warns you before the task stalls.

  • Plan each supply by task and lot, before the work is assigned
  • "Supply at risk" when the warehouse can't cover what remains
  • Planned against actual cost for the whole cycle

See what went out over plan, and what went out with no plan

On each cycle task, Arlo checks exits against the plan. It flags anything over plan and puts a "Not planned" badge on anything that left without a plan.

  • Quantity over plan, supply by supply
  • Every exit with its date, contractor, and quantity
  • Returns go back to the warehouse at the exit's cost

Frequently asked questions

How do you track fertilizer and chemical inventory on a farm?
By recording every purchase and every warehouse exit the day it happens, with its lot, task, and contractor. In Arlo every entry recalculates the average cost and every exit reduces stock, so inventory and its value stay current without closing the month in a spreadsheet.
How is weighted average cost calculated for farm inputs?
Divide the value of what is in the warehouse by the quantity on hand, every time a purchase comes in. Arlo runs that calculation on each entry and shows it as the WAVCO price. It values each exit at that price when it leaves, so every lot's cost uses the inventory's real price.
Do I still need an inventory spreadsheet for the warehouse?
No. Each supply's transaction history in Arlo works as its stock card: entries, exits, returns, and a balance valued at average cost, by date. Entries and exits download to Excel whenever you need them.
How do you charge input usage to each block or lot?
With the warehouse exit. Every exit asks for the lot, the task, and the contractor, and Arlo values it at average cost. One exit can split a tank mix across several lots, with a different quantity for each. The storekeeper records it from the phone, or on WhatsApp with the Smart plan, and needs a connection to save it.
How do you track pesticide expiration dates?
Each entry stores the expiration date of what arrived. When the storekeeper records an exit, Arlo shows which purchase expires first and from which provider. It also sends email alerts for batches expired or expiring within 7, 15, or 30 days.
How do you compare the planned input program with what left the warehouse?
By planning each supply on the field cycle, by task and lot. The supply plan shows planned, exited, remaining, and stock, warns you when the warehouse won't cover it, and marks anything that left without a plan as "Not planned."
How do you record returns to the warehouse?
From the exit. Whatever wasn't applied goes back to the warehouse as a return, at the exit's cost, and stops counting as the lot's consumption.
Does farm inventory software replace accounting software?
No. Your accounting software keeps the books. Arlo keeps the warehouse and field record and values every input against the lot and task it went to. Entries and exits export to Excel for your accountant.
